Custom Events & Group Travel Specialist
The Buffalo Bill Center of the West is seeking a detail-oriented, service-driven professional to join our team as a Custom Events & Group Travel (CE>) Specialist. This full-time position plays a key role in supporting the planning, coordination, and execution of group visits, private events, and institutional functions across our dynamic museum campus. Reporting directly to the CE> Manager, the Specialist ensures every event—whether large or small—runs smoothly and meets the highest standards of hospitality, logistics, and customer satisfaction.
The CE> Specialist is responsible for managing group and event reservations, including entering bookings in our point-of-sale system, reviewing availability, and issuing confirmations. They work closely with the Catering Chef to develop and implement menus for custom events and also step in as Production Chef when needed. The position oversees the organization and inventory of catering materials, including linens, hard goods, and alcohol, ensuring everything is stocked and ready for use. The Specialist supervises part-time and on-call event staff during programs, maintaining a professional, responsive presence on-site and ensuring that all events meet guest expectations.
Strong communication across departments is essential, and the Specialist helps ensure internal coordination for every event, from guided tours to catered receptions. This position also plays a key role in using technology to streamline processes, maintain accurate records, and deliver timely updates. Cross-training with Admissions, the Eatery, Coffee Bar, and Dishwashing teams allows this role to provide support where it’s most needed.
